A remote inventory handover needs a shared record of the goods, a defined inspection scope and a confirmed receiving arrangement. Start with location and material information. Do not dispatch samples or a full lot until both sides have agreed the relevant delivery and commercial conditions.

Create one reference for the shipment
Use a versioned inventory list with fixed line IDs. Record manufacturer, full part number, quantity basis, packaging and condition, then connect every carton to the relevant lines. Where a shipment contains several lots, maintain those distinctions. If material is added or removed, issue a clear change record instead of silently replacing the original list.
Agree what the inspection will establish
Counting cartons, checking labels and viewing packaging do not establish electrical performance. Discuss whether a visual review, physical count, sampling or another inspection is needed. If opening packages or testing samples is proposed, agree the scope, costs, sample handling and decision process beforehand. Existing reports should identify the lot they cover rather than being treated as evidence for unrelated goods.
Make differences manageable
Specify how shortages, incorrect part numbers, mixed condition or damaged packaging will be recorded. Photos should reference a carton and inventory line. Decide whether only the affected portion is held for clarification or the entire handover pauses. Separate confirmed quantities from disputed quantities so neither side mistakes an initial spreadsheet for a final acceptance record.
Confirm the route and receiving details
- Origin country and city, proposed destination and receiving contact.
- Carton count, packaging dimensions and approximate gross weight.
- Access, loading and receiving-hour restrictions.
- Carrier or collection arrangements and responsibility for transport costs.
- Required shipment documents and who will prepare and review them.
Cross-border movements depend on the material, route and applicable requirements. Used equipment, reusable components and waste are not interchangeable descriptions. A global enquiry channel does not mean every material can be shipped to every destination. Obtain shipment-specific confirmation from the receiving party and appropriate logistics or compliance professionals before dispatch.
Tie payment milestones to agreed events
State the parties, pricing scope, currency, approved payment details and the milestones that trigger settlement. Inspection, receipt and payment can be separate events. If a subset needs additional checking, document how it affects the amount and timing. Keep handover acknowledgements and payment records with the same inventory reference. A generated website enquiry number is only a conversation reference, not evidence that a shipment or payment has been accepted.
Start without exposing unnecessary information
For an initial HXG enquiry, country, city, representative part details, approximate quantity and condition are usually more useful than a full set of confidential customer or procurement records. Share precise access details through the agreed business channel when needed.
